Two audiences, one evening
A prom booking has two customers with different priorities. The student wants an arrival that looks good in photographs and does not embarrass them in front of two hundred classmates. The parent paying for it wants to know exactly where their child will be at half past eleven and who is bringing them home.
Both are entirely reasonable and both are easy to satisfy, provided the arrangements are agreed with the parent rather than negotiated with a sixteen-year-old at the kerb. We take the booking from whoever is paying and confirm the details back to them in writing. That way there is no dispute afterwards about what was agreed, and no student is left negotiating terms on a pavement.
Photographs at home come first
Almost every prom evening starts on a driveway with parents taking photographs, and the car is part of that whether anyone planned it or not. Allowing time at the collection address rather than arriving and immediately pulling away makes the evening considerably better, and it costs nothing except a few minutes.
Where a group of friends are travelling together, the photographs usually happen at one house and the collection is from there. That is much simpler than four separate pickups and it means everybody arrives together, which is generally the point. It also means one set of parents takes the photographs and the other families are spared four separate driveway sessions.
Arriving at the venue in the right order
Schools and hotels hosting proms frequently manage arrivals, because forty vehicles turning up in fifteen minutes at a single entrance does not work. Many set a drop-off point, a one-way system through a car park, or a staggered arrival window, and some ask that vehicles do not queue on the road outside.
Since these arrangements are set by the school or venue each year, we check what applies for your evening when the booking is made rather than assuming last year's system. Where there is a red carpet or a photographer at the door, the set-down is timed so nobody arrives into somebody else's photograph.

The collection is the part that matters
Proms end at a stated time and the car park empties quickly. The collection is therefore the part parents care most about, and it works best as a fixed time and a specific meeting point agreed before the evening, rather than a vague arrangement to message later.
It is also worth being clear about what happens afterwards. If the plan is home, the plan is home. Chauffeurs will not take a group of teenagers to an unagreed second location on the basis of a persuasive argument in the back of the car, and parents can rely on that.
Alcohol, behaviour and the plain rules
School proms are alcohol-free events and the journey should be too. It is worth saying to a group, kindly and once, that alcohol is not carried in the vehicle and that the chauffeur will contact the parent who booked if there is a problem. Said in advance it is almost never needed.

Can a group of friends share one car to the prom?
Yes, and it is the most common arrangement. Tell us how many are travelling and whether dresses need space, because a party of six in full evening dress needs a larger vehicle than six people ordinarily would. One collection address for the whole group works best.

The parent or guardian who made the booking. The itinerary agreed in advance is the itinerary driven, and any change to the destination or collection time comes from them rather than from the passengers. Parents find that reassuring and students rarely mind.
What if the prom finishes earlier or later than expected?
Tell us and the collection moves. A message from the parent or from the student is enough. What we would rather avoid is an unarranged wait outside a venue at midnight, so the meeting point and a contact number are agreed before the evening starts.
