Why a single number would be misleading

Passengers reasonably expect an answer of the form four cases per car. Boots do not work like that. A saloon boot is a specific shape with a specific aperture, and whether it swallows four cases depends on whether they are hard-shell, whether they are the same size, and whether one of them is the deep upright that will not lie flat.

Two parties both declaring four pieces can therefore present completely different problems. Which is why the useful question is not how many, but what: sizes, types and anything with an unusual dimension. Two or three words of description are worth more than any count, and they take no longer to type into the notes box than the number does.

What the planner asks and what it means

Step four of the journey planner has a luggage selector running from nothing at all up to an eight-or-more option, sitting alongside the passenger count. Those two figures are read together, because they are not independent: a full complement of passengers in a vehicle reduces what can be carried without stacking bags into the cabin.

Count everything. The cabin bag that lives at your feet on a flight is still a piece on the ground, and so is the laptop rucksack, the suit carrier and the duty-free bag you will be holding when the car arrives. Under-declaring is the single most common cause of an awkward first two minutes.

• Suit carriers, which need to hang rather than fold
• Anything bought at the airport on the way out

Vehicle class changes the picture completely

The preference options on the same step describe genuinely different shapes of vehicle. The Pinnacle and Executive Sanctuary classes are built around rear-cabin comfort rather than load capacity, and their boots are modest relative to the size of the car. Commanding Elegance offers a taller, squarer load area. Luxury Utility, based on a large people carrier, is the one that takes a family holiday's worth of cases without argument.

That is worth knowing before you name a preference. Choosing a car for its cabin and then arriving with six cases produces a conflict that nobody can solve at the kerb, so if the luggage is the constraint, say so and leave the class as Unspecified.

When the load is genuinely borderline

Describe it in the notes box rather than hoping. A sentence such as three large hard-shell cases, two cabin bags and a folded buggy gives a far better basis for allocating a vehicle than the number five ever could, and it takes ten seconds to write.

If you cannot picture it, photograph it. A picture of the pile sent on the WhatsApp thread settles the question immediately, and it is a completely normal thing to do on a family departure or a relocation. It also removes any argument about what was declared, because the picture and the booking sit in the same thread with the same timestamp.

Golf, skis and the things that do not fold

Sports and instrument cases are their own category because they are long rather than bulky. A golf bag, a ski bag, a cello or a set of fishing rods may fit comfortably in one vehicle and not at all in another, regardless of how many ordinary cases each will take.

Flag those separately in the notes with a rough length. They are frequently the deciding factor in which car is sent, and they are the item most often forgotten when a passenger tots up their pieces. Nobody thinks of a set of clubs as luggage until it is standing beside a boot that took four suitcases without complaint and will not take one more thing.
