Deposit requirements and cancellation terms are commercial terms attached to a specific booking, and stating a percentage or a notice window here would be inventing something. What applies to your journey is set out in the quotation you receive after your enquiry is reviewed, and it is agreed before anything is held.

Read that quotation properly. It is the document governing the arrangement, and reading it at the point of agreement is considerably more comfortable than reading it for the first time on the day you need to cancel. A great many disputes in this trade begin with a term that was agreed without being read, and almost every one of them was avoidable in thirty seconds.

What actually drives a firmer arrangement

A deposit is not a test of good faith. It exists because holding a vehicle and a chauffeur for a fixed date takes that capacity off the table, and the cost of doing so rises sharply on dates where demand is concentrated. A weekday transfer in February and a Saturday in Royal Ascot week are not the same commitment.

The same logic explains why terms tighten as the date approaches. A booking released weeks out can usually be refilled; one released the night before generally cannot. Multi-vehicle work, overnight schedules and journeys built around a fixed curtain-up time all sit at the firmer end for the same reason.

The consumer right that does not apply here

Guests sometimes assume the fourteen-day cooling-off period from distance selling rules covers a car booked online. In practice, contracts for transport services made for a specific date or period are excluded from that right under the Consumer Contracts Regulations 2013, which is why hotel rooms, flights and event tickets behave the same way.

The practical consequence is that the terms in your quotation are the terms, rather than a fallback right sitting behind them. That is all the more reason to raise anything you are uncomfortable with before you agree rather than after. A term you have queried and understood is a term you can live with. One you assumed would be interpreted generously usually turns out not to be.

Postponing instead of cancelling

If your plans have moved rather than evaporated, say so in those words. A journey shifted to a new date is a different conversation to a journey cancelled outright, and it is very often the more workable option for both sides, particularly if the new date is quieter than the original.

Send the request on the same WhatsApp thread as the original booking so the history is visible. A move proposed early, with a specific alternative date attached, has a far better chance than a vague request to hold something open indefinitely. Naming a date also gives the person reviewing it something concrete to check against availability, which is the only way an answer can be anything more definite than maybe.

How to raise it when the news is bad

A cancellation agreed in a thread is unambiguous later, which protects you as much as anybody, and it means any credit, transfer or adjustment discussed at the time is recorded rather than remembered. Recollections of a difficult conversation diverge surprisingly quickly, particularly where money is involved. A written thread does not diverge at all.
